From application to move-in: the leasing pipeline
Prospect applies on your booking site → application lands in Leasing → review, generate the lease, both sides e-sign → Move to Tenant creates the booking and rent schedule automatically.
The whole journey from stranger to rent-paying tenant runs through one pipeline, and each step feeds the next automatically.
1. The application arrives
Prospects apply from your booking site — the apply form creates their applicant account at the same time, so they can track status in the portal from day one. The application lands in Leasing, and whoever's routed for applications gets notified.
2. Review and decide
Work the application through the pipeline stages. Approve, decline, or ask for more info — status changes can email the applicant (when your resident-facing emails are on). If the applicant applied generally ("select property later"), you'll pick the property during lease generation.
3. Generate the lease
The lease wizard builds the lease from the application: property, term, rent, deposit, fees. It supports preset terms or fully custom ones. Generating creates the document and moves the pipeline forward — see E-signing leases for the signature flow.
4. Both sides sign
The applicant reviews and signs in their portal; you countersign in the admin (you'll get a bell when they've signed). The executed PDF is frozen exactly as signed.
5. Move to Tenant — the automatic part
One action converts the applicant into a tenant and creates the booking: dates from the lease, rent schedule onto the ledger, deposit tracking opened, calendar occupied, and the property included in future owner payout math. The double-booking guard rechecks the dates at this gate too — occupancy may have changed while paperwork was in flight.
Where things show up after
The person now lives in Tenants (ledger, documents, maintenance, messages), the stay lives in Bookings, and their portal account switches from applicant view to the full resident portal.

How the tenant ledger works
Every tenant has one ledger: charges (rent, fees, deposits) and payments, each with a due date. Payments allocate to the oldest due charge first, and the balance is always charges minus payments.
