What is a rent roll? Every unit, on one date.

The snapshot lenders, buyers and owners ask for — what goes on it, how it’s checked, and what one looks like when the homes are furnished mid-term rentals (MTR) with leases that end every few months.

What a rent roll is

The usual columns: the as-of date, the unit, the tenant, the lease start and end dates, the monthly rent, the deposit held, any concessions, the balance owed and whether the unit is occupied. It isn’t a history — that’s the rent ledger — and it isn’t a profit-and-loss; it’s the income under lease right now.

An example

On a midterm or medium-term portfolio, the end-date column does the most work: leases end every few months, so a rent roll shows which homes need a new tenant — or an extension — soon.

Who asks for one, and how it’s checked

Lenders and buyers ask for a rent roll and then check it. HUD’s guide for its multifamily mortgage programs has the leases compared with the rent roll — unit number, resident name, lease start and end dates, concessions and monthly rent — and occupancy documented with an updated rent roll no more than 30 days before closing. Fannie Mae’s multifamily lenders submit rent roll data with fields such as the as-of date, each tenant’s contract rent and the market rent.

What is included in a rent roll?

One row per unit as of a date: the unit, the tenant, the lease start and end dates, the monthly rent, the deposit held, any concessions, any balance owed, and whether it’s occupied or vacant. Lender versions often add bedrooms, square footage and the market rent.

How do you verify a rent roll?

Compare it with the signed leases and with the deposits in the bank. HUD’s multifamily lending guide has the leases compared with the rent roll on the unit number, resident name, lease start and end dates, concessions and monthly rent; bank statements show whether that rent actually arrives.

What is the difference between a rent roll and a rent ledger?

A rent roll is a snapshot of every unit on one date. A rent ledger is the running history of one tenant’s charges and payments over time. A rent roll’s balance column is the ledger’s balance on that date.

Who asks for a rent roll?

Lenders, buyers, appraisers and owners. A lender refinancing a property, a buyer in due diligence or an owner reviewing a manager all use it to see the income a property has under lease right now.
